Head of Operations

About the Role

The Head of Operations is a member of the senior leadership team at Sound Minds and leads the management and day-to-day operations of a vibrant community premises. They will develop and implement robust systems to support growth and the charity’s future aims.

We particularly encourage people with lived experience of mental ill health to apply. Due to the nature of the work with our members the role needs to be carried out in person and is not suitable for remote working. Sound Minds is a creative place and the Head of Operations will need a passion for organisation and administration.

Responsibilities

• Lead and manage all aspects of operational, health and safety, premises, IT, systems, human resources, evaluation and reporting activity.
• Work within policy and guidelines for health and safety, safeguarding and risk management, promoting a safety conscious culture and ensuring that Sound Minds fulfils its responsibilities under the law as an employer and service provider.
• Develop, manage and maintain Sound Minds studios, ensuring adequate infrastructure and resources including refurbishments, relationships with landlords, and the purchase of utilities.
• Manage a programme of facilities renewal, repairs and servicing for the premises.
• Manage the delivery of Sound Minds’ Peer Support service, ensuring supervision needs for staff are met, developing and implementing necessary systems, and liaising with external stakeholders, in particular the NHS Trust.
• Oversee the referral process for new members and lead on the development of a new CRM solution.
• Lead on the creation, review and implementation of all organisational policies.
• Manage Sound Minds’ IT systems, ensuring they are fit for purpose and in accordance with data protection laws.
• Lead on all reporting for the organisation including quarterly reports to funders.
• Set, agree and manage annual budgets for areas of responsibility.

Duties – General

• To act as Deputy Designated Safeguarding Lead.
• To act as one of Sound Minds’ trained Fire Marshalls.

Person specification

Essential

• Proven experience of operations management and operational processes and procedures.
• Experience of managing services in a mental health, health or social care setting.
• Interest in the arts and music.
• Experience of organising, supervising and supporting others in the workplace.
• Experienced manager with the ability to lead a multi-disciplinary team.
• Experience of producing staff contracts and organisational policies.
• Strong proven experience in risk assessment, health and safety, and fire safety management.
• Being responsible, or assisting, in the running and maintenance of a premises.
• Well organised, with good time management skills and attention to detail.
• Financially numerate with experience of managing and setting budgets.
• Excellent IT skills, including an advanced knowledge of Excel.
• A high standard of verbal and written English.
• An understanding of the values and behaviour expected within this role.
